Holiday Tracking Options

Below is a breakdown of the 3 types of tracking service that can be provided along with the fee

Salaried Employees

We don’t really suggest using Brightpays Portal Calendar for holiday tracking on salaried employees – there are better solutions like Charlie HR out there being brutally honest!

If they want a ‘cheap’ solution, then there is no monthly uplift applied for using the Brightpay Calendar feature – however please note we don’t offer tech/user support on the portal though – we just aren’t geared up for that.

There is a one off setup fee of £30.00 + VAT base charge + £5.00 + VAT per employee (i.e. 5 employees would be £30.00 + (5 x £5.00) = £55.00 + VAT total) which covers the following:

  • Adding in the Entitlements to the software
  • Adding in working pattern to the software
  • How To Guide – On how to use the calendar feature.

There will be an annual £50.00 + VAT charge for the service.

The Salaried Employee holiday tracking encompasses the following:

  • Clients will NEED to have the payslips portal at £0.35p + VAT
  • The holiday shows by default in the portal within the Calendar area and they can use this for holiday requests and approvals.
  • The holiday entitlement can be displayed on the payslip if required.
  • For an additional £5.00 + VAT per month we can produce and attach an annual leave summary report as part of the payroll pack – saving them having to generate their own reports.

Regular Hourly Paid Employees

For Regular Hourly Paid Employees The holiday can be tracked and calculated in Brightpay as the employee will be entitled to 5.6 weeks holiday based on their regular working days per week, therefore the service encompasses the following:

  • Providing the employee works regular hours, they will be paid the same amount of hours each period
  • You will need to tell us as part of the payroll instructions each period what leave has been taken > in DAYS.
  • Leaver holiday calculations are included in the fee (no additional charges).
  • An Annual Leave Summary Report is provided each period.
  • The holiday entitlement will be displayed on the payslips.

The fee is £2.50 + VAT per employee per month.

There is a one off setup fee of £30.00 + VAT base charge + £5.00 + VAT per employee (i.e. 5 employees would be £30.00 + (5 x £5.00) = £55.00 + VAT total) which covers the following:

  • Adding in the Holiday From/To
  • Adding in working pattern / accrual method
  • If Mid-year, working out pro rata entitlements

TBC: Note there is no annual fee for the portal calendar feature (typically £50.00 + VAT) applied in this case.

Zero Hour / Irregular workers

Brightpay doesn’t support the 52 week average method which is required for this type of tracking and as a result it has to be completely manually managed and tracker. Our fee for this is £6.00 + VAT per employee per month (no per pay run fee, it is a monthly fee regardless of the payroll frequency).

Clients will need to provide their spreadsheet workings (covering the previous 52 weeks) for us to take that and build it into our system to continue with the tracking service.

The service encompasses the following:

  • Instructions must be sent in to us > in HOURS
  • Clients will need to tell us as part of the payroll instructions what leave has been taken > we will need to manually calculate the holiday entitlement.
  • Leaver holiday calculations included in the fee.
  • Annual Leave Summary Report provided each period (in the form of a spreadsheet).
  • The holiday entitlement will be displayed on the payslip if required.
